Office Manager – for one of our favourite clients

Salary & Benefits

£30,000 circa per annum

Pension – 3% Employer contribution

Healthcare scheme

Hours of work: Monday to Thursday 8am to 5pm – 1 hour lunch, Friday 8am to 2.30pm – 1 hour for lunch

Main Purpose of the role

To be pivotal in the efficient running and performance of the Farnham office and 2 regional locations. The position touches all facets of the business with particular emphasis on supporting the Directors, HR and Administration provision (this is not a PA role)

  • Answering calls, meeting and greeting, providing a warm and friendly welcome to customers and clients
  • Taking accurate messages, relaying important information, redirecting calls and responding where appropriate
  • Providing an excellent level of service to the team in all areas of business support
  • Diary and travel management for the Directors
  • Implementing efficient and effective administrative processes
  • Updating the client and project management systems
  • Sales and project documentation
  • Take overall responsibility for site maintenance/H&S working in conjunction with the Directors including associated documentation and legal compliance
  • Co-ordination of the IT function
  • Management of office petty cash
  • Purchasing (including raising POs and checking invoices where appropriate) for low and high value consumables and supplies
  • Day to day HR administration including staff on-boarding, holiday records, healthcare, organising CPD, contracts, data protection and maintenance of personnel records
  • Organising quarterly and annual social events
  • Ad hoc project work - as the business evolves you will be instrumental in implementing the necessary office systems

 

Competencies Required:

 

  • Numerate, IT savvy Word & Excel essential, Sage (not essential), conscientious, efficient, trustworthy, positive, reliable and enthusiastic.
  • Ability to work effectively and make decisions without close supervision
  • Maintain tidy and organised workspace, systems and records
  • Working under pressure and to deadlines
  • Accuracy and attention to detail

 

Experience required:

This role requires exceptional organisational and communication skills and would suit someone with proven office management experience (not people management). There are numerous different priorities to manage at any one time and the scope of the role is wide. You must be able to multi task and adapt to changing priorities within a dynamic SME. You also need a confident, friendly and approachable personality!
